What Hidden Costs Should You Expect When Installing Air Conditioning?

26 October 2026 Cambridge Air Conditioning and Refrigeration

The Price You See Is Rarely the Full Price

When you ask for a quote on an air conditioning system, the number you get covers the unit and the basic installation work. What it often does not cover are the smaller but significant costs that only become clear once an engineer has looked at your property properly. Knowing what these are before you commit saves you from an unpleasant surprise when the final invoice arrives.

This applies whether you are fitting a single split system in a Cambridge terraced house or a multi-unit setup across a commercial office or shop. The building, its age and how it is used all affect what the job actually involves.

Electrical Work and Supply Upgrades

A modern air conditioning unit needs a dedicated electrical circuit. In older Cambridge properties, particularly Victorian and Edwardian terraces that are common across the city, the consumer unit may not have a spare way, or the existing wiring may not meet current standards. In that case, an electrician needs to add a new circuit before the air conditioning can be commissioned safely.

If the consumer unit itself needs replacing or upgrading, that adds further cost. Electrical work for a new dedicated circuit typically runs to a few hundred pounds, but the exact figure depends on how far the cabling needs to run and what the existing board can accommodate. This work must be carried out by a qualified electrician and notified under Part P of the Building Regulations in England.

Refrigerant Pipework, Drainage and Penetrations

The indoor and outdoor units of a split system are connected by insulated copper pipework carrying refrigerant. The longer and more complex the pipe run, the higher the cost. A straightforward back-to-back installation, where the outdoor unit sits directly behind the indoor unit on the other side of the wall, keeps pipe runs short. But in a period building, a listed property or a multi-storey office, the pipe may need to travel several metres through ceiling voids, wall chases or purpose-made trunking.

Every pipe run also needs a core drill through the wall, and on a solid brick or stone building that takes longer than on a modern cavity wall. Condensate drainage is another consideration: the indoor unit produces water that has to go somewhere, and if a gravity drain is not available near the unit, a condensate pump adds to the parts and labour cost.

All refrigerant work must be carried out by an engineer who holds F-gas certification, as required by UK law. Approved engineers are listed on registers maintained by bodies such as Refcom and other F-gas certification bodies. When comparing quotes, always check that the engineer is certified - an uncertified installer cannot legally handle refrigerants.

Outdoor Unit Positioning and Fixings

The outdoor condenser unit needs a firm, level surface with adequate clearance for airflow. On a Cambridge terraced house, the only practical location is often a side passage, a flat roof section or a bracket fixed to the rear wall. Wall brackets, anti-vibration mounts and the additional labour involved in a non-standard fixing position all carry a cost. If the unit is going on a flat roof, the fixing method has to be right for the roof structure and covering, and a structural check may be needed first.

For commercial air conditioning on a shop or office, access for installation and ongoing maintenance also needs to be factored in. A unit that is difficult to reach will cost more to service each year.

Planning and Building Regulations

Permitted development rights allow most domestic air conditioning outdoor units to be installed without planning permission, but there are exceptions. Listed buildings, conservation areas and some flats do not qualify for permitted development, and Cambridge has a significant number of properties in conservation areas. Always check with the local planning authority before installation rather than assuming permission is not needed. An unexpected retrospective application or the need to move a unit adds cost and delay.

For larger commercial installations, building regulations may also require notification or approval. Your installer should be able to advise on what applies to your specific building, but the responsibility for obtaining any required consent sits with the property owner.

Ongoing Costs to Budget For

An air conditioning system is not a one-off purchase. Annual maintenance keeps the unit running efficiently and is required to maintain the validity of the manufacturer's warranty. For systems containing more than a certain quantity of refrigerant, F-gas regulations require periodic leak checks carried out by a certified engineer. Air conditioning maintenance contracts spread this cost and mean the checks happen on schedule without you having to remember to book them.

Filter cleaning is something you can do yourself between service visits on most split systems, but coil cleaning and refrigerant checks need a professional. Factoring in a realistic annual maintenance cost from the start gives a much clearer picture of the total cost of ownership.

If anything goes wrong outside a service visit, air conditioning repairs carry their own call-out and parts costs. A well-maintained system is less likely to break down, but no system runs indefinitely without occasional attention.

Get a Clear, Itemised Quote Before You Commit

The best way to avoid hidden costs is to have an engineer assess your property in person before any price is agreed. A quote based on a phone conversation or a photograph will almost always miss something. Ask specifically whether electrical work, drainage, pipe trunking, fixings and any building regulations notifications are included or excluded.

Cambridge Air Conditioning and Refrigeration can help homeowners and businesses across Cambridge and the surrounding area, including Ely, Newmarket and Saffron Walden, understand exactly what their installation will involve. Get in touch for a free local quote and we will give you a full picture of what is involved before any work begins.
